Build the handoff before you automate the workflow.
You finish the same report every Friday, yet the work still starts with scattered notes, missing updates, and a blank page. This issue helps you create one repeatable handoff that AI can run manually while you verify the result.
The goal is to prove that one AI-assisted workflow can produce a consistent, reviewable draft before you connect it to other systems.
Use the DIRECT© Prompt below to build your first reusable handoff
TL;DR
A repeatable handoff reduces rebuilding and makes the review step visible.
Podcast Drop: Capture one useful idea, test it on one task, and keep only what improves the work.
AI Use Case: Turn approved Friday updates into the same weekly report structure every time.
DIRECT© Prompt: Define the inputs, required sections, missing-information rules, and human reviewer.
Action Steps: Set up the workflow in 10 minutes, then test it manually on three different examples.
AI in the News: OpenAI’s Data agent shows why context, action, permissions, and governance must work together.

Quick List
Why This Matters
A recurring report often looks standardized from the outside. The hidden process may still depend on one person collecting updates, correcting formats, filling gaps, and remembering what leadership expects. That makes the output repeatable, but the workflow is still fragile.
AI can help prepare the draft, but a good result from one prompt is not yet a dependable workflow. The inputs, instructions, output format, and review point must work across more than one example. If AI encounters missing or conflicting information, it should identify the gap instead of inventing an answer.
The real win isn’t producing the report faster. It’s building a system that makes rebuilding it unnecessary.

Podcast Drop
Listen for one idea you can apply to a recurring task.
Write down the task, test one small change, and keep the method only if it improves the finished work after review.

AI Use Case: Build a Friday Report Handoff You Can Reuse
An operations lead receives short updates from several people every Friday. Some updates contain completed work. Others mix blockers, questions, and next steps. The lead spends time reorganizing everything before leadership can review it.
In the AI-assisted version, the lead gives AI only approved notes and a fixed report structure. AI prepares the draft. The lead confirms blockers, owners, dates, claims, and priorities before the report is used or shared.
What AI Can Prepare
Organize approved updates under consistent headings.
Separate completed work from planned work.
Flag missing owners, dates, evidence, or status details.
Draft a concise executive summary from verified information.
Create a review table for blockers and decisions.
What You Still Own
Decide which updates and sources are approved for use.
Confirm that every claim matches the source notes.
Choose priorities and make decisions.
Correct sensitive, incomplete, or misleading language.
Approve and share the final report.
The DIRECT Prompt©
Create a Weekly Status Brief You Can Review. Copy the prompt below and replace every bracketed field. Use redacted or approved information for the first test.
D -Doing: Turn the supplied weekly updates into a reviewable operations status brief.
I -Information:
Reporting period: [DATE RANGE].
Team or function: [TEAM].
Approved weekly updates: [PASTE REDACTED UPDATES].
Previous approved report or required structure: [PASTE OR DESCRIBE].
Known definitions or status labels: [LIST].
R -Role or Persona: Act as an operations reporting coordinator who organizes supplied information, identifies gaps, and prepares concise internal status reports. You do not make business decisions or create facts.
E -End Goal or Result: Produce a draft with these sections: Executive Summary, Completed Work, Current Blockers, Decisions Needed, Next-Week Priorities, Missing Information, and Source Check.
C -Context: This is an internal draft for [AUDIENCE]. Use only the information supplied. Do not infer owners, due dates, results, financial figures, customer promises, or decisions. Mark missing or conflicting information as NEEDS HUMAN INPUT. Separate confirmed work from proposals. The reviewer is [NAME OR ROLE].
T -Tone Style or Format: Use plain, concise language. Keep the draft between [WORD LIMIT] words. Use short headings and bullets. Present blockers in a table with Item, Impact, Owner, Due Date, and Verification Status. End with a checklist of facts the reviewer must confirm.
The draft must be ready for a named human reviewer, not ready for automatic sending.

Action Steps: Run the Workflow Manually Three Times
Seven manual steps
Start in under five minutes. Open last week’s approved report and list the sections that must appear every Friday.
Set up the handoff. Collect one safe set of approved updates, name the reviewer, and fill the DIRECT© placeholders.
Run one manual trial. Ask AI to prepare the draft. Do not add a scheduled trigger or external connection.
Review against the source. Mark what is correct, missing, unsupported, or unnecessarily rewritten. Record your review and correction time.
Refine and retest. Fix one instruction at a time. Test the revised prompt on the failed case and a normal case.
Complete three examples. Use two additional approved examples. Keep the workflow only if the output remains useful after human review.
Consider a connection later. Define permissions, failure handling, stop rules, and approval before connecting the workflow to email, chat, documents, or another system.
Success signal: You have one reusable prompt, a correction log, and a clear decision to keep, revise, or stop the workflow. Three successful trials improve confidence, but they do not prove production reliability.
AI in the News
OpenAI Launches a Data Agent for Recurring Business Analysis
OpenAI introduced the Data agent in ChatGPT Work, which can connect to approved company data, investigate business questions, and create interactive dashboards. It can work with sources such as BigQuery, Databricks, Snowflake, Google Drive, and SharePoint, depending on the connections an organization enables.
The Data agent is available through the ChatGPT Work Plugins directory. Workspace administrators must install or enable it, configure the relevant data connections, and determine which roles may use them.
Test the report logic manually before connecting live company data. A stronger connection cannot repair an unclear or unproven workflow.
